VIVA Bar Hire & Events – Terms & Conditions

By placing a booking or hire order with VIVA Bar Hire & Events (“we”, “us”, “our”), you (“the client”, “you”) agree to the following Terms and Conditions. Please read them carefully before confirming your booking.
1. Bookings & Deposits
- All bookings are confirmed only once a deposit has been received.
- Deposits are non-refundable, unless otherwise agreed in writing.
- The remaining balance must be paid in full no later than 14 days before the event date, unless otherwise arranged.
- Failure to pay the balance by the due date may result in cancellation and loss of deposit.
2. Cancellations & Postponements
- Cancellations must be made in writing (email accepted).
- Cancellations within 30 days of the event will incur a 50% charge of the total booking.
- Cancellations within 14 days of the event will be charged in full.
- Postponed events can be transferred subject to availability and may incur a rebooking fee.
3. Staffed Bar Hire
This section applies to all events with VIVA staff.
Service Includes: professional mobile bar setup; bar equipment, glassware, ice, mixers, and stock (as agreed); trained and uniformed staff for the agreed duration.
Client Responsibilities:
- Ensure adequate space, access, and power supply for setup.
- Unsafe, restricted, or unsuitable access may result in refusal of setup without refund.
- You are responsible for guest conduct and venue safety.
- Staff may refuse alcohol service to intoxicated guests or anyone under 18.
Licensing & Alcohol Service: We operate in accordance with UK alcohol licensing laws. Proof of age ID may be required. Guests may not bring or consume their own alcohol at staffed bar events unless agreed in advance.
4. Self-Service / Bar in a Box Hire
This section applies to all Bar in a Box and self-service hire bookings.
Deposit: A refundable security deposit of £199 is required for all Bar in a Box bookings. Deposits are refunded within 5 working days of equipment return, provided all items are complete, undamaged, and collected on time.
Delivery & Collection:
- Delivery and collection dates are confirmed at booking.
- The equipment must be packed and ready for courier collection at the agreed time.
- Failure to have the Bar in a Box ready for collection will result in a £75 missed collection charge, plus £50 per additional day until the equipment is returned.
Security & Tracking: A GPS tracking device is fitted discreetly within the hire equipment. This helps us monitor logistics, ensure safety, and recover lost or stolen items if necessary. You agree not to tamper with, remove, or damage the tracking unit. Doing so will result in forfeiture of the full deposit and may lead to further charges or legal action.

You are liable for all items from the time of delivery until safe collection.
5. Dry Hire (Delivered & Setup)
- No refundable deposit is required for Dry Hire bookings.
- You must ensure suitable access and power on arrival.
- Any loss, theft, or damage caused by misuse or neglect during the hire period will be charged at the replacement costs listed above.
- Equipment must remain under your supervision and be protected from weather at all times.
6. Access & Setup Requirements
- Minimum 1m wide clear access is required for delivery.
- Stairs, uneven surfaces, or restricted access must be disclosed before booking.
- If access is unsuitable upon arrival, we reserve the right to refuse delivery without refund.
7. Liability
- We accept no liability for injury, loss, or damage caused by misuse of equipment or client negligence.
- We are not responsible for delays or cancellations due to weather, venue access, traffic, or events beyond our control.
8. Force Majeure
We will not be held responsible for failure to perform obligations due to circumstances beyond our reasonable control, including but not limited to weather, illness, accidents, or transport failure.
9. Agreement
By ticking the box during checkout or confirming your booking in writing, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
