How we handle your personal data.

2. The data we collect

When you request a quote, make an enquiry, or book with us, we collect the information you provide, which typically includes:

Your name and the contact details you give us (email address, phone number);
Details about your event — date, venue, location, guest numbers, and the type of service or product you're interested in;
Any other information you choose to include in your message;
Booking and payment records where you go on to make a booking or purchase.

We do not collect special category data, and we do not knowingly collect data from anyone under 18.

3. How we use it, and our lawful basis

To respond to enquiries and prepare quotes — on the basis of taking steps at your request prior to entering a contract;
To deliver a booking or product you've ordered — on the basis of performing our contract with you;
To keep records and meet our legal and tax obligations — on the basis of our legal obligations;
To improve our service and, where you've agreed, send occasional updates — on the basis of our legitimate interests or your consent, which you can withdraw at any time.

4. Sharing your data

We do not sell your personal data. We only share it where necessary to run our business — for example with trusted service providers who help us operate (such as email, payment processing and IT providers), or where we are required to by law. Any provider we use is required to keep your data secure and use it only for the purposes we specify.

5. How long we keep it

We keep enquiry data only as long as needed to deal with your enquiry and for a reasonable period afterwards in case you come back to us. Booking, financial and tax records are kept for as long as the law requires (generally six years). After that, data is securely deleted.

6. Cookies and this website

This site uses only what is necessary to display correctly and does not use advertising or tracking cookies. Web fonts are loaded from Google Fonts, which may log your IP address as part of serving those fonts. If we add analytics or other non-essential cookies in future, we will ask for your consent first.

7. Your rights

Under UK data protection law you have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to its processing, and to data portability. To exercise any of these rights, email us at info@vivabarhire.co.uk. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk, though we'd appreciate the chance to put things right first.
